Administration Volunteer


Help digitise records, improve systems and support our friendly team to keep services running smoothly and efficiently.

Role Description

Background: Administration, data entry, secretarial work

Direct Report: Administration Manager, Registered Manager

Note: All appointments are subject to Rathbone’s safeguarding procedures, including pre-employment checks and an enhanced DBS.

Role Summary

Support the team in implementing a new administration system by transferring paper files to a secure digital platform.

Main Responsibilities

  • Support our adult social care teams with the “Going Digital” project.
  • Transfer information from paper documents to digital systems through keyboard entry and scanning.
  • Follow up with colleagues for missing information and verify data using online sources.
  • Assist with the secure disposal of confidential documents.
  • Work under the supervision of a friendly, diverse team that will provide training and support.
  • Travel expenses will be reimbursed, and lunch will be provided if working a full day (6 hours or more).

Person Specification

Essential

  • Experience with keyboard entry, online portals, and data systems.
  • Excellent organisational skills, attention to detail, and accuracy.
  • Understanding of confidentiality and data protection. Volunteers will handle sensitive information and must hold an enhanced DBS (provided by Rathbone) and provide two references.
  • Interest in the charitable sector and Rathbone’s work.

Desirable

  • Knowledge or experience of charity administration or business practices.

  • A genuine interest in supporting young people and adults with learning disabilities to live fulfilled and independent lives, with awareness of the challenges they face.
  • Commitment to the values of the voluntary sector and the work charities do to support vulnerable people in our community.

Time Commitment

The project is expected to last around six months, followed by an archiving programme.

Volunteers are asked to commit to at least half a day per week for a minimum period of three months.

Location

While some home working may be possible, most work will take place at Rathbone’s office in West Norwood, Lambeth (SE27) due to the sensitive nature of the information being handled.
